Mass Humanities works to provide opportunities for people across Massachusetts; we do this through grants, programs, and partnerships. We are searching for an enthusiastic and detail-oriented Office Manager who thrives in a collaborative environment and excels at operational excellence.

Why You’ll Love Working with them: As an integral part of thier administrative team, you’ll work closely with their Director of Operations, Financial Administration, and Fiscal Officer. Together, you’ll ensure the smooth day-to-day operations of our organization, championing our mission through effective office management, human resources support, and administrative excellence.

Your Impactful Role:

Office Management (50%):

  • Lead the administrative operations of a vibrant, hybrid workplace with over 10 employees, fostering a positive and healthy culture aligned with our Diversity, Equity, Inclusion, and Accessibility values.
  • Drive excellence by supporting improvements in our core systems and processes.
  • Organize and maintain physical and virtual workspaces, streamlining remote workflows and communication.
  • Masterfully manage incoming and outgoing communications and ensure seamless delivery of mail and packages.
  • Cultivate vendor relationships, manage staff meetings and events logistics, and coordinate key organizational dates.

Human Resources (25%):

  • Be the go-to contact for employee inquiries, supporting and guiding as necessary.
  • Aid in crafting and maintaining vital company policies and procedures, including onboarding and ongoing training.
  • Facilitate recruitment processes and build a positive work culture.

Grants & Programs (25%):

  • Support their Grants & Programs department in executing impactful initiatives that align with our mission.
  • Stay on top of data management, providing logistical support for events, and enhancing our organizational efficiency.

What You Bring to the Table:

  • Proven administrative and operational expertise, plus experience in hybrid environments.
  • Excellent verbal and written communication skills.
  • Exceptional organizational skills and the ability to meet deadlines with high-quality results.
  • A proactive approach to problem-solving and effective communication.
  • Proficiency with Microsoft Office 365, web-based platforms, and quick adaptability to new software.

Requirements
  • Relevant administrative/operations experience in an office (virtual/hybrid experience a plus).
  • Excellent verbal and written communication skills.
  • Highly organized and able to meet deadlines while maintaining an excellent standard of work.
  • Critical thinking ability, with a willingness to take initiative and problem-solve.
  • Ability to effectively and proactively communicate issues to staff and leadership.
  • Excellent computer skills, comfortable with web-based software platforms, and quick to pick up new software.
  • Experience with Microsoft Office 365, including Outlook, Word, Excel, and Sharepoint (or comparable platforms)
  • Some experience with database management and/or project management software is preferred.
  • Some experience with human resources is preferred.
  • Conversational Spanish ability preferred.

Salary Description $55,000
